Managing Team Retention Policy

On the Retention page in the team Compliance module, in the Team Admin Console, you can define retention policies for direct messages exchanged between team members, for room messages and comments, and for bots. By default, message retention is disabled. This topic describes how to enable message retention, modify the default retention period, and if desired, define and manage custom message retention policies for specific team members, rooms, and bots.

The message retention period only applies to messages that do not have a custom retention policy or are on hold. At the end of the specified retention period, messages are marked for purge and permanently removed from servers within 30 days.

The following illustration is an example of the team Retention page in the Team Admin Console when message retention is enabled, and the default retention period is set to 180 days instead of the default setting of 365 days.

On the team Retention page of the Compliance module in the Team Admin Console, the fields and controls are displayed based on whether message retention is enabled or not. When message retention is not enabled, only the Enable Retention button is displayed. For more information, see Enable or Disable Message Retention.

The following table describes the controls on the Retention page when message retention is enabled:

Control Description

Click Disable Retention to disable existing message retention policies and delete any custom retention policy rules already defined. This button is only available when retention is enabled. For more information, see Enable or Disable Message Retention.

Click Modify Default Retention Period to modify the default retention time period.

Note: The time period set for the Default Retention Period is 365 days. This value changes whenever an Enterprise Administrator modifies the time period.

The Custom Retention Policies section on the Retention page in the team Compliance module, enables you to create custom retention policies for specific team members, rooms, bots, and tasks.

Custom retention polices override the default retention policy, and are listed in the Custom Retention Policies section.

Note: Enterprise-level custom retention policies override the retention policies that you create for team messages, team members, or a user, whenever there is a conflict of policies.

This section describes the controls on the Action bar.

The list of entries in an admin console table can be very large depending on the size of your company, for example, a list of users or teams. To find one or more specific retention policies, in the Search field, enter at least three characters and then press enter.

Note: The number of search terms in a search query is unlimited, however, no more than the first 20 characters of each search term is used to return search results.

To view all entries, clear the search field, and then press the Enter key.

Click the Add New WebAddNewButton.png button to view the Define a Custom Retention Policy dialog. For more information, see Create a Team Custom Retention Policy.


Select one or more retention policies to delete, and then in the Group Action drop-down list on the Action bar, click Delete. For more information, see Delete a Custom Retention Policy

All custom retention policies are displayed in the Custom Retention Policies section as shown in the following illustration.

The following table describes the columns in the Custom Retention Policies section.

Columns Description
Rule Name Displays custom retention policy name. The policies are listed in an alphabetical order.
Retention Time Displays the custom retention time period.
Created By/On Displays date of custom policy creation along with author name.
